Before a Private Jet Charter Takes Off | Safety, Crew & Maintenance
Prior to a private jet charter departing from the airport, four basic checks need to be made: the aircraft is airworthy with the appropriate DGCA sign-off after maintenance, the operator has the right DGCA permission, the pilot is qualified and within duty-time limits, and there is a flight plan that accommodates weather, fuel, and airports.
Passengers usually see only the final stretch. Most of the work happens earlier.
Is the Aircraft Airworthy? How Maintenance Sign-off Works
Airworthiness does not equal a pre-flight check. It is a record that cannot be broken.
In India, DGCA’s CAR M sets out continuing airworthiness requirements. A continuing airworthiness management organisation (CAMO) is responsible for the maintenance programme and also for monitoring mandatory airworthiness directives, open defects, etc.
The work is done under a CAR 145 maintenance organisation, and a Certificate of Release to Service is issued by the approved CAR organisation. There must also be a valid certificate of airworthiness for the aircraft, and it has to have regular airworthiness reviews to keep it current.
What do the Pilots Check on the Day?
The crew reviews the technical log for open defects, then checks which items may legally be inoperative under the aircraft’s approved Minimum Equipment List.
They then walk around the aircraft:
- Tyres
- Brakes
- Control surfaces
- Probes
- Fluid levels
- Fuel quantity
It’s up to the pilot in command to decide if the aircraft is safe to fly.
A passenger’s greatest questions are: who is responsible for the records, and who is responsible for signing out the aircraft? If one organisation manages, maintains and operates the aircraft, it is a semi-short, and therefore shallower, trail.
Does the Operator Have Permission to Fly You?
Many people have little to no idea of what is meant by a non-scheduled operator permit (NSOP). There’s not much people know about a non-scheduled operator permit (NSOP) as per 134A of the Aircraft Rules, which is required for commercial charter in India. The specific aircraft must be endorsed on that permit.
This catches a risk many first-time customers miss. If the cabin is beautifully finished and they are offering the non-commercial registered jet to charter, it’s a warning sign, as this is a privately-owned aircraft.
International sectors will include overflight and landings in their package; these will be arranged in advance with the operator.
How are Pilots and Crew Prepared?
Charter pilots have to be licensed, hold a medical certificate, and a type rating for the type of aircraft they fly, with associated training and checks. A good amount of experience on that kind of machine is more important than total flying hours; ask for both.
Fatigue is regulated as well. The DGCA has released CAR Section 7 series Part III, in which it has outlined the standard flight time, flight duty period, and rest for flight crew in non-scheduled operations. This is often because an operator could refuse a tight itinerary that has multiple sectors in a single day, or may hire a second crew to take over part of the flight. A rested crew is a measure of safety and not a scheduling hassle.
Pre-departure weather, NOTAMs on airport/airspace restrictions, fuel, and alternate airports are discussed before departing. Where cabin crew are carried, they are briefed on safety equipment and passenger needs.
What Does Flight Planning Cover?
Booking becomes an action taken in the flight planning process that enables an aircraft to fly safely and legally. It covers:
- Route & Weather: Departure, en route, destination, and alternate airports.
- Fuel: trip fuel, reserves, and fuel to reach an alternate.
- Weight & Balance: Passengers, baggage, and fuel, which also feed performance calculations.
- Runway Performance: Whether the aircraft can take off and land within the available runway at that day’s weight and temperature. Shorter airfields and hot afternoons can limit payload.
- Airport Arrangements: Slots, parking, operating hours, and handling, including at the FBO or private terminal.
- ATC Filing: The flight plan submitted to air traffic control.
This is why accurate passenger numbers and luggage details at booking matter. Weather is reassessed right up to departure, and the monsoon is the clearest example. If conditions change, a delay or a different aircraft is the safe outcome.

Why Does Professional Aircraft Management Matter?
Someone has to coordinate maintenance planning, crew scheduling, compliance paperwork, insurance, and readiness. Aircraft management services exist to do that continuously rather than trip by trip, so problems surface in the hangar and not on the apron.
For charter customers, the benefit is indirect but real: aircraft managed to a consistent standard are less likely to produce a surprise on departure day.
At Club One Air, our MRO workshop is DGCA-approved and certified under CAR 145, & we maintain our own fleet in-house and support third-party operators.
When you book a private jet in India, you need to ask for evidence like this.
What Should You Ask Before You Book a Private Jet Charter?
Before you book private jet charter flights, ask for evidence rather than assurances:
- Permit: The operator’s DGCA NSOP, with your aircraft’s registration endorsed on it.
- Maintenance: Who owns responsibility for conducting the maintenance of the aircraft, under which approval (CAR 145, CAMO), and is the paperwork up to date for airworthiness.
- Crew: Licences, type rating, experience time on that aircraft, and compliance with duty time for this itinerary.
- Independent Audit: Who is the third-party auditor that reviewed the operator and when?
- Contingency: What happens if the aircraft goes technical, including whether a replacement is available.
- Insurance: What passenger liability cover applies.

The same checklist applies when you compare the best air ambulance services, with one addition: the medical team’s qualifications and the onboard equipment. At Club One Air, we have a dedicated in-flight medical staff and a 24-hour response service.
No operator can promise zero risk. At Club One Air, we can show a process that stays unbroken from the maintenance hangar to the runway, and the records to prove it.
Whether or not you’re seeing how that applies to your particular plans, sit down with our private jet charter team, who will walk you through the aircraft, crew, and routing before you board.
Frequently Asked Questions (FAQs)
Who inspects a private jet before every flight?
The pilots walk around the aircraft and review the technical log before each flight. Certified engineers carry out and sign off maintenance separately. Engineers release the aircraft to service; the pilot-in-command decides whether it is fit for that day’s flight.
How can I check that a charter operator is legitimate in India?
Get a non-scheduled operator permit from the operator, and make sure that your aircraft’s registration is endorsed on that permit by the DGCA. Aircraft under private ownership that have been registered for non-commercial flights may not be hired for commercial flights.
Are private jet pilots subject to flying-hour limits?
Yes. DGCA’s CAR Section 7 Series J Part III limits flight time, flight duty periods, and rest for flight crew in non-scheduled operations. Operators plan itineraries around these limits, sometimes with additional crew.
Can weather or a technical fault delay a private jet?
Yes. The pilot in command determines whether to fly away, and if not, the aircraft remains on the ground due to a deficiency that may not be discussed. A good operator treats a delay or an aircraft swap as the safe outcome.
How long does it take to prepare a private jet charter?
It depends on Aircraft, Route and Notice given. Crew Scheduling, permissions, and flight planning ensue after the trip has been authorised and approved (not before); inspection and Fuelling take place near departure. International sectors usually need more lead time.
